Cost Estimates
With knowledge of a company’s relocation policy and key information about a candidate, we can accurately determine the cost of a potential relocation.
Recruitment Services
We will engage with interested candidates which includes counseling them on how the relocation process works and coordinating area tours that coincide with interview trips. Once the candidate accepts, the process naturally transitions to a relocation and we guide them through the entire process. The goal is to reduce the actual relocation as being a deterrent to accepting the position.
Lump Sum Programs
Red Oak Relocation has the resources available to manage lump sum programs effectively and efficiently through our New Roots system. New Roots is a cost-effective hybrid program that manages the lump sum, non-taxable expenses, and HHG direct bill setup. There are no fees associated with utilizing the new Roots system for either the employer or employee.
Home Sale Assistance
We assist employees in the home sale process by assigning them with a relocation-qualified listing agent from our Red Oak Agent Network. If we have not already established a relationship with a network agent in a particular community, we research brokers, interview agents, and provide the employee with a choice of at least two listing agents. Agents do not pay a fee to be a member of the Red Oak Agent Network.
Buyer Value Option (BVO) Home Sale Program
A BVO home sale program allows an employee to move from their home once a buyer is found. A qualifying BVO program places a small risk of home ownership on the employer which makes the entire transaction non-taxable and eliminates the need for tax gross-ups. Red Oak assists in the process with marketing assistance, closing review, insurance coverage, carrying costs, and final reconciliation.
Amended Value Option (AVO) Home Sale Program
An AVO home sale program allows an employee to move from their home once the value of the home is determined. The average of two appraisals is utilized to set the value of the home. After this determination, the employee is cashed out with their equity and the employer takes responsibility of the home. Because the company assumes the risk of taking on home ownership from the employee, the entire home sale transaction is non-taxable and eliminates the need for tax gross-ups. Red Oak assists in the process with appraisals, marketing assistance, closing review, insurance coverage, carrying costs, and final reconciliation.
Expense Management
Our support staff directly manages expense reports, which are audited and tracked in relocation-specific tax and reporting software. We run gross-up calculations, track and pay direct-bill items, and consolidate and report monthly billing to our clients. Expense reimbursement checks are issued within 24 hours of receiving an expense report and Red Oak is available to support questions that employees have regarding year-end tax information.
Policy Management
Red Oak can partner with clients to create relocation policies that meet the requirements and desires for a client’s internal company standards and that are competitive with industry benchmarks, trends, and standards.
Risk Management
Tax compliance is essential during the relocation process. 90% of relocation programs are non-compliant. The risk to clients who are non-compliant with IRS standards is an $8,000 fee for every move in that tax year. We conduct a full review of client payment and reporting practices. Recommendations are given, based on this information, that ensure our clients are IRS-compliant.
Temporary Living Placement
We research and coordinate temporary housing in any location, based on client policy provisions. Often times a direct-bill situation can be established so the employee is not paying for temporary housing out-of-pocket.
Home Finding Assistance
We assist transferring employees by assigning them with a relocation-qualified purchase agent from our Red Oak Agent Network. If we have not already established a relationship with a network agent in a particular community, we research brokers, interview agents, and provide the employee with a qualified agent. Agents do not pay a fee to be a member of the Red Oak Agent Network.
Rental Assistance
Each transferring employee that will be renting versus purchasing a residence receives a rental tool kit. We can coordinate half-day and full-day rental tours that can be charged to either the client or the employee.
Van Line Move Management
Red Oak Relocation is a licensed freight broker in all 50 states. We have the same client contract in place with several national carriers. We coordinate the entire move process including bids, estimates, storage, and claims. Each carrier invoice is audited by our staff, prior to payment.
